User Management


User Accounts

As an application that prioritizes traceability of user activity and security of intellectual property, we require every user to have a unique account in order to access any information. Our authentication protocol uses a verified email and password to ensure secure access to all organization information. All Admins in the organization have full access to create, edit and delete users in the ‘Users’ tab or the Admin App.

User Types

Users

These individuals can contribute to the processing of orders by entering orders, uploading documents, checking into and completing tasks, and entering production or quality data.

Common job titles include: operators, technicians, production managers, foremen, quality managers/inspectors, sales executives, delivery/logistics staff

Administrators

In addition to all user permissions, these individuals can configure the organization via the Admin App, manage operations by assigning users to orders and tasks, and get full access to analytics.

Common job titles include: President/owners, CEO, COO, operations directors, IT staff, plant manager, senior production managers, quality directors, sales directors, office administrators

Single Task Check-In Limit

As a tool to help ensure accurate data collection, admins can optionally limit users to check into only a single task at a time. When a user attempts to check into a second task, they will be prompted to resolve the status of the previous task first by checking out or changing the status to complete or error. We recommend that this limit is enforced unless the user is expected to work on multiple tasks at a time or performs batch operations.

User Data

Understanding user performance is a significant benefit for managers on FactoryFour. Some key information collected for each user includes:

  • Check-in time
  • Form submissions
  • Order events
  • Asset events

User Groups

User Groups provides admins role-based access to by sharing View Templates based on user role and fewer headaches when users are added, removed or change roles.

At a Glance

  • Admins create User Groups and manage group membership
  • Admins create group-specific View Templates and share them with relevant User Groups
  • Users have access to all View Templates shared to all User Groups
  • Users additionally create and manage their own personal View Templates

Feature Details

User Group membership

Admins assign users membership to User Groups - there is no limit to the number of groups a user can have. In order to share templates with a User Group an admin must also be a member of the User Group.

Sharing view templates and dashboards with User Groups

Both view templates and dashboards created by admins can be shared to User Groups. In order to share templates with a User Group, an admin must also be a member of the the group. Shared templates are read-only for users, but can be edited by any admin that has access via a User Group.

Updating shared view templates and dashboards

View templates and dashboards that are added, modified or deleted update every time a page loads - in order to see the changes simply refresh the page or navigate away from the page and come back.

User Groups are established for the entirety of a user session and will only update upon the next user log-in - in order to see the changes log-out and log back in.
